Position Summary

The Finance & Administrative Coordinator supports financial operations and shared administrative functions across the organization. This role oversees deposits and accounts receivable, performs accurate financial data entry, assists with financial reporting cycles, and contributes to general office administration.

This role supports both Adult & Teen Challenge of Central Canada and Lighthouse Mission and may be required to work across both organizations as needed.

Key Responsibilities

Finance Responsibilities
• Deposits & Cash Handling
• Coordinate the deposit process across the organization, providing oversight for deposits prepared by other locations and ensuring consistency with procedures.
• Prepare, record, and submit main office deposits and other required deposits, while coordinating and overseeing deposit tasks performed by supporting staff.
• Verify accuracy of cash, cheque, and electronic deposits.
• Ensure deposits are properly documented and reconciled.

Accounts Receivable
• Prepare and issue customer invoices.
• Track payments and follow up on overdue accounts.
• Record payments accurately in the accounting system.
• Maintain AR tracking spreadsheets and assist with month-end AR reconciliations.

Financial Data Entry
• Enter financial data into the accounting system and related platforms.
• Review entries for accuracy, completeness, and proper coding.
• Assist in gathering supporting documentation for audits and financial reviews.

Financial Reporting Support
• Assist with month-end, quarterly, and year-end reporting by preparing reports, gathering system data, and completing assigned reconciliations and schedules.
• Track and compile financial information for recurring operational areas to support weekly and monthly reporting.
• Provide general administrative support to the Finance Team as needed.

Office Administration Support

General Office Duties
• Provide shared support in answering phones, managing correspondence, and completing general administrative tasks as needed.
• Help organize and maintain shared office files and supplies.
• Provide backup support for administrative tasks when needed.

Event Finance Support
• Provide finance-related support at fundraising events (including some weekends), such as recording transactions and assisting with reconciliations.

Additional Responsibilities
• Other duties as assigned

Education, Experience and Credentials
• High school diploma or equivalent.
• Post secondary education in business administration, accounting, or related field (preferred).
• At least two (2) years of experience in finance, preferably in a non-profit organization.
• Office administration experience is considered an asset.
• Accounts receivable experience is considered an asset.
• Strong proficiency in Microsoft Office Suite and database management.
• Must be able to obtain and maintain a clear Vulnerable Sector Clearance.
• Driver’s licence required.

• Occasional travel to other sites or events by car or air.

Compensation

$45,000.00 - $48,000.00 per year
